and DESCRIPTIONS OF RESPONSIBILITIES

ADVISORY COMMITTEE
Klota Underwood, Margo Faccini, Diane Coombs

The Advisory Committee's purpose is to assure continuity from one year's Officers and Executive Board  to the next by advising the Board regarding its responsibilities for ongoing activities of the Busy Bee Quilters.  Each year a member of the Executive Board will be appointed to the Advisory Committee for a three-year term.

AUCTION - Bi Annual
Marian Garton-Zweber

Organize the Guild auction.  Coordinate the collection, pricing and presentation of auction items.  Report to Executive Board and submit articles to the Newsletter.  Maintain accurate and complete records for historical purposes. 

 

AUDITORS
Linda Tellesbo and Andi Bailey

Audit record of past year's club financial activities.  Audit is conducted at the end of fiscal year (June 1).  Make report to Executive Board and to members.

BIRTHDAY PARTY

Joanne Stevenson

Organize a party to celebrate the founding of Busy Bee Quilters in 1980.  Traditionally held at the November General Meeting.

 

CHALLENGE PROJECT & PARTY
Sue Goldsworthy, Lorraine Jones

Determine rules, design, fabrics, and any other necessary information for the annual Challenge Quilt Project.  Arrange date, time, location, and judges for Challenge Quilt show, traditionally a potluck held at the June General Meeting.  Order awards for winning quilts.  Submit articles to Newsletter.

 

CHRISTMAS PARTY
Barbara Smith

Organize party and schedule program for December holiday meeting.  Traditionally, it has been a potluck dinner.  If the third Thursday falls too close to Christmas, the meeting is held on the second Thursday.

 

DAY CAMP

Spring 2009:

Fall 2008: Donna Severn

With the help of a committee, plan, schedule, and secure teachers and meal catering for the Annual Busy Bee Day Camp.  Submit articles to Newsletter, including class schedule and registration form.

 

DOLL QUILTS
Rebecca Bracilano

Coordinate this Busy Bee Community Service  Project by organizing production of doll quilts; collect and deliver them to Verizon/Norwesco Pioneer Club to be donated to children in the community.  Submit articles to Newsletter as needed. EQUIPMENT:  ??

Maintain storage unit holding Busy Bee quilt standards, quilt show signs and supplies, wearable forms, etc.  Arrange transportation of such items to meetings or Quilt Show as needed.

FABRIC EXCHANGE
Jo Bond
Decide what theme fabrics will be exchanged each month.  Coordinate the exchange, submitting the list of participants and their fabric needs to the Newsletter and webmaster.

FAT QUARTER SALES - FUND RAISER
Laura Dvorak

Sell Fat Quarters and other items at each General Meeting. 
Count and turn over receipts to the Treasurer to be used for club operating expenses.

 

FOOD DRIVE   food
Cindy Glancy

Announce Food Drive at meetings and submit information to Newsletter.  Collect donations and deliver items to the Snohomish Food Bank.

 

GRACIE QUILTS
Rosie Tatel

Coordinate this Busy Bee Community Service Project by organizing the production
of hospital bed quilts.  Collect quilts and arrange their delivery to Harborview Medical Center.

GREETER / REGISTRATION / BEE KEEPERS

Greet Members/guests at General Meetings at the front sign-in table;
introduce guests and new members to general membership.
Provide nametags.  Maintain sign-in sheets for Points Secretary.  Receive new memberships; turn in dues to Treasurer; provide information to Newsletter Editor to be published monthly; keep accurate records of membership renewals, address changes, etc.

 

HANDBOOK AND BYLAWS
Margaret Bridge

Produce annual Handbook containing members' names, addresses, telephone numbers, email addresses, etc.  
Update Bylaws if membership has approved changes in May and November.  Handbook also includes
Standing Committee descriptions, Point rules, and other information members may need to reference
throughout the year.

 

HONEYBEES:  ??

Organize and administer an elective "secret pal" type of program for an exchange among participants of periodic gifts, such as quilt blocks, theme items, etc.


HOSPITALITY

Provide, set up and clean up refreshments at meetings, or organize members to do so.sunflower

 

LIBRARY
Marion Garton-Zweber and Louise Hoops

Maintain books, videos, patterns and other Library items.  Set up Library
at General Meetings so members may borrow books; follow up on borrowed items to be sure they are returned.
Purchase books for Library as budget allows.  Submit articles to Newsletter as necessary.

MEMBERSHIP

NOMINATING: ??

Arrange for a slate of officers for the following year following requirements as outlined in Article IV.  Nominations and Elections, in the Busy Bee Quilter's Guild handbook.


PUBLICITY

Send notices of meetings, shows, demonstrations and Busy Bee participation in community activities to newspapers,
radio, television, etc., on a regular basis.  Monthly notices to local newspapers recommended,
rotating papers that are notified so each receives notices at least quarterly.


QUILT SHOW
Ethel Greyerbiehl

Schedule and organize annual Quilt Show.   With the help of a committee, determine Quilt Show theme.  Supervise committee activities and hold regular meetings to follow up on progress.
Report to Executive Board and submit articles to Newsletter as needed.  Maintain accurate and complete records for historical purposes.

RAFFLE QUILT

Deb Lund-Tlumak & Ronnie Holt - 2008

Present pattern for annual Raffle Quilt to Executive Board for approval.   Provide sample and instructions to general membership.  Select and purchase fabrics, assemble top, schedule basting, and quilting sessions.  Monitor quilting to ensure that quilt is complete at least 6 months prior to drawing date and can be displayed at our Quilt Show in July.  Keep record of time spent by members who work on quilt and submit to Points Secretary.   Secure raffle tickets, distribute and collect the tickets for the raffle in November,
and submit a list to Points Secretary of all who sold books of raffle tickets.
 Comply with Washington State Gambling Commission laws governing raffles.

RETREAT
Winter 2009:  Annette Austin

Fall 2008: Mitzi Willbanks

Schedule and reserve the site for annual Retreat.  Arrange program and organize group activities.
Collect deposits and payments from membership. Submit articles to Newsletter, including registration form.

SATURDAY SEW DAYS / OPEN SEW:
Coordinator: Karen Richards

Coordinate sew day meetings, including opening, set up, clean up and lock up of facilities.  Make announcements and submit articles to the Newsletter concerning pertinent details.

 

SUNSHINE

Act as guild contact person to send cards to Busy Bee members when notified of illness or other need.Two women talking on a phone

 

TELEPHONE/E-MAIL TREE
Jodi Inman

Organize the telephone tree on a computer spreadsheet, sorting by zip codes to minimize
long-distance calls.  All members with email addresses can be on a separate email tree.  
The President will activate the phone tree when necessary by contacting the
Coordinator, who then contacts the tree captains or issues a group email.

 

WEBMASTER:  Carla Schoonover

Creates and maintains Busy Bee Website.
